Confirmation of Booking
A contract will be bound between you and us when we issue a written confirmation of your booking. You will be required to check the details on the confirmation and notify Quintessential of any incorrect details.

Provisional Bookings
Provisional bookings are held for 14 days. If the agreed deposit has not been received by this time the booking will automatically be cancelled.

If you alter a booking
If you wish to alter your booking once a written confirmation has been issued, e.g. change of date of arrival hence decreasing the length of your stay, we will make every effort to meet your request and an administration charge will be payable. No administration charge will apply if you are staying beyond the period booked.

Extension of bookings
7 days notice of intention to extend your stay is required. Failure to do so may result in your apartment being re-let. Extensions of current reservations are subject to availability and rate change. In order to complete your extension, full payment is required at the time you inform us of the notification.

All prices are quoted in UK Pounds Sterling.

The prices quoted include all administration, marketing and communication charges prior to the rental period.

All prices are based on costs prevailing at the time of quotation and may be subject to change.

Methods of Payment
Credit/Debit cards
We are pleased to accept Visa, Access, Mastercard, Diners, Switch, Maestro and Delta.
American Express 3% surcharge
Business and corporate credit cards 2% surcharge

Bank transfer – this should reach our bank account net of all bank charges. Please ask your bank to show your name and invoice number on the transfer. A copy of the transfer should then be sent to us.

Company cheque
For reservations made more than 28 days before the beginning of your stay a 25% deposit is required with the balance payable 14 days prior to arrival.
For reservations made within 28 days of the beginning of your stay full payment by cleared funds is required at the time of booking.

Changes and Cancellations
Once a booking has been confirmed by us, should you wish to change your booking, all requests for changes must be made in writing and Quintessential will do their best to help. All changes of date are subject to availability. Should any change be rejected, the original booking will be reinstated.

Deposit fees are non-refundable.

Stays of less than 7 nights
Quintessential must receive notification of cancellation for bookings from 1 to 6 nights at least 7 days prior to midday on the day of arrival. Cancellations received less than 7 days prior to expected arrival will only be offered any reimbursement if the apartment is able to be relet (the deposit will be forfeited.

Stays of 7 to 27 nights
Quintessential must receive notification of cancellation for bookings from 7 to 27 nights at least 7 days prior to the actual arrival date. Where notification of cancellation is received less than 7 days prior to the arrival date Quintessential will apply a minimum cancellation charge of 7 nights accommodation.

Stays of 28+ nights
Quintessential must receive notification of cancellation for bookings of 28 nights plus at least 28 days prior to the actual arrival date. Where notification of cancellation is received less than 28 days prior to the arrival date Quintessential will apply a minimum cancellation charge of 7 nights accommodation.

Non-arrivals will be treated as a cancellation and will be subject to a 100% cancellation charge.

If you wish to cancel, or change, an extended booking (see ‘Extension’ below), you will be liable to pay the total charges for the extended period in accordance with the scale above. These charges apply to notification advised prior to arrival and/or during your stay.

Quintessential reserves the right to treat an early departure or reduction in the number of nights or apartments booked, which results in a reduction in the overall charges payable, as a cancellation.

Quintessential does not expect to have to make any changes to your booking. However, occasionally bookings have to be changed or cancelled. Quintessential reserves the right to do so. If this does happen, Quintessential will contact you by telephone or email where reasonably possible to explain what has happened and inform you of the cancellation or change. If a change has to be made (and the change is not acceptable to you) or your booking has to be cancelled Quintessential will, if possible and as soon as reasonably practical, offer you an alternative apartment of similar type and standard in a similar location for the same period. If you do not wish to accept a change or any alternative apartment offered or Quintessential cannot offer you a suitable alternative apartment, you will be entitled to cancel your booking and receive a full refund of all monies paid to Quintessential unless this is the result of an Event beyond our Control. You should tell Quintessential as soon as reasonably possible whether you wish to accept any change or alternative apartment offered, or alternatively, if you want a refund.

Group Bookings
Quintessential defines a group as being three apartments or more being booked in the same location for similar dates. For group bookings the minimum cancellation charges that will apply per group booking, regardless of length of stay, are the same as for stays of 28+ nights, as detailed above.

If you wish to extend a stay Quintessential requires notice in writing. Emails are acceptable. Please give as much notice as possible in order to facilitate your request. All extensions are subject to availability and rate change. Failure to give Quintessential notice in writing of an intention to extend a stay may result in your apartment being booked by another guest.

Where notice of intention to extend your stay has been given, Quintessential reserves the right to take all additional payments and charges from any credit/debit card used to make the original booking (plus any further deposit requirements). Where payment has been made by cheque or bank transfer an invoice for the requested extended period will be sent to the billing address provided at the time of booking and payment must be made by return.

No administration fee is payable when a booking is extended.

Quintessential reserves the right to cancel any letting immediately if: (i) the guest or any member of their party behave in such a way as to cause damage to the property or its furniture or contents or (ii) if the guest’s behaviour causes a nuisance or annoyance to the owner of any adjoining or neighbouring property whether let by us or not. If cancellation is made for either of these reasons no refund will be made of any money the guest has paid.

Accommodation and Occupancy

Although accommodation is confirmed in advance, the exact apartment cannot be guaranteed.

The number of people allowed to occupy each apartment is limited to the number of beds.

Extra sleeping accommodation can be provided in some apartments at an additional charge.

All apartments are reserved from 16:00 hours on the day of arrival to 10:00 hours on the day of departure. All additional hours will be charged as one day unless otherwise agreed.

Collection of Keys
Collection of keys/codes and check ins are during the hours of 09.30 – 17.00 hours. If your arrival falls out of these times, please give us 72 hours notice in order to co-ordinate the necessary arrangements.

Return of keys
All Quintessential keys in your possession must be returned upon departure. Any unreturned or lost keys will be charged at £30 for replacement.

Early Departure
In the event that you need to check out prior to the agreed departure date, any refund for the remainder of the stay will be subject to the apartment being re-let. In addition to this, there will be an administration fee charged and this will be deducted from any refunds due.

Security deposit/and end of tenancy charges

A security deposit is required to cover any additional charges at the time of booking, this will be between 250 – 500. Quintessential reserves the right to deduct from that card all amounts chargeable. We will notify you of the charges prior to deducting them from your card.

Please note that your accommodation charges cover an end of tenancy clean of up to 2 hours, anytime more than this will be subject to a minimum charge £50.

Out of office calls
Any non urgent calls made to our 24 hour property manager during out of office hours will be charged at £20 per call. Out of office hours fall between 17:00 hours and 09:00 hours.

Loss or damage
Quintessential cannot be held responsible in any way for loss or damage to contents, furniture, fittings or any personal belongings at the property. Nor can we be held liable for the acts or defaults caused by third parties.

Additional charges
Telephone calls and Sky T.V. channel purchases will be charged at the end of your stay plus VAT.

Broadband is available in all apartments. We will make every effort to ensure that this service is available at all times. If there is a fault which is deemed by Quintessential to be connected with the user’s hardware or software, no support will be available.

We cannot be held responsible for any failure or interruption of services to the apartment, including electricity and water or any damage, disruption or noise caused as a result of repair works being carried out in another part of the building.

Pets can be kept in some of our apartments at our discretion, please contact us for more information.

Smoking is strictly forbidden in all of our properties.

All our apartments have Molton Brown Shower Gel, Hand Wash and Body Lotion, for guests to use during there stay. If you wish to purchase any Molton Brown products they are available from The Molton Brown Shop located at The Promenade, Cheltenham.

Cleaning and linen
Linen and towels will be replaced on the days specified by us. Weekly refresh cleans will commence from 9am on the specific day. If the cleaners are turned away, then the cleaning will be re-scheduled for the following week. If additional cleaning is required this will be charged at £30 per clean.
